There are things to know before purchasing a new phone system.

Selecting a new phone system could easily be the single-most important decision a company makes in any given year.  Usually, such a decision is a decade-long decision that reflects selecting a new phone company to support the phone system during its life cycle.

As the telephone is often the easiest way to reach your customers and to be reached by them, its importance is sometimes taken for granted.

So, how do you figure out what you need? Here are some questions you may want to ask:

  •  Is the system easily expandable?

If your needs should grow in size will your phone system keep pace without blowing the budget? Make sure you purchase an “Open Architecture”, port based digital system that will expand along with your company’s needs. 

  • Can the system you install today handle the future?

ISDN, PRI or digital trunk lines, are coming down in price, and voice networking applications such as Voice over IP will soon become the standard, can the phone system you are considering today migrate to the technology of tomorrow?  

  • Can all phones be set up with the functionality to make your employees more productive?

Beware of any “lazy” phone sets in a quote, they keep the price low but rob you of options.

All phone systems these days should be equipped with the following:  

1.   Busy Lamp Fields: lets you see at a glance who’s on the phone and who’s free.

2.   Direct Station Selection: one-touch intercom keys for instant communication.

3.   All sets should be speakerphone enabled. You would be surprised how much time this saves, especially trying to locate someone in the building.

4.   All sets should have one touch speed dial buttons and a built-in directory.

5.   All sets should have available Call Coverage Keys. That way you can see when your extension is ringing and answer it…On any phone!

6.   Can all sets adapt to CTI  technology? Computers and telephone systems have finally reached a common ground.  Are you be there yet?

7.   Frequently used features should be programmed with “one-touch” keys.  This eliminates multiple key strokes and memorizing of feature codes.
